Minimum Qualifications High school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of Microsoft Word, Power Point, Teams, Outlook, Access, and Excel. Excellent customer service, business writing, and office management experience. Preferred experience: Knowledge and understanding of NYS Labor Law (Taylor Law); experience rendering direct administrative assistance to lawyers, courts, and administrative law judges; the ability to run reports from a variety of database systems. Excellent judgement skills and the ability to handle sensitive matters with confidentiality.
Duties Description Under the direction of the Directors of Private and Public Employment Practices & Representation, the incumbent will perform a full range of administrative services within the division.• Functions independently to provide administrative support to both the Office of Public and Private Representation. This includes, but is not limited to, answers phone, greets visitors, operates office equipment, maintains office scheduling, coordinates meetings, research information, contributes to committee work, creates conference material. • Knowledgeable in the Taylor Law (Public Employees’ Fair Employment Act) and applies this knowledge to real-time scenarios. • Handle time-sensitive tasks in an efficient and timely manner. • Reviews work done by others to check for proper spelling, grammar, formatting and recommends revisions when necessary. • Work closely with the Director’s to process incoming Representation matters. • Performs a preliminary examination of each filing and enters cases in database or case management system. • Alerts manager to basic procedural deficiencies. • Ability to learn and understand PERB processes and the Public Sector Rules of Procedure.• May participate and contribute to committee work. • Prepares, proofreads, and disseminates deficiency notices and decisions. • Screens incoming phone calls, explains deficiencies and successfully resolves issues. • Acts as a professional liaison with clientele in all matters related to the Division.• Develop the ability to train staff members in the administrative procedures of the Division.• Open, read, route, and distribute incoming mail or other materials. • Coordinate travel arrangements for division staff and prepare travel reimbursements and reconciliations via the Statewide Financial System (SFS)• Establish and maintain effective working relationships with staff at all levels within the organization.• Other administrative duties as assigned.
