Responsibilities NONAPPROPRIATED FUND POSITION DESCRIPTION JOB TITLE: Administrative Assistant BUSINESS TITLE: Administrative Assistant FLSA: Non-exempt JOB SERIES: 0303 PAY LEVEL: NF-02 INTRODUCTION: This position is located at the Behavioral Health Family Advocacy Program (BHFAP) within the Marine and Family Programs Branch. The mission of the BHFAP is to prevent, intervene and treat abusive behavior within families. The primary purpose of this position is to provide support for all administrative functions in the BHFAP. The incumbent to this position assists the secretary and clinical staff in fulfilling all administrative tasks that may be assigned by the Advocacy Supervisor, New Parent Support Manager, or FAP Manager. DUTIES AND RESPONSIBILITIES: Provides administrative and clerical support for one or more activities. Operates a personal computer and peripheral equipment to produce a variety of correspondence, and communicates with customers and stakeholders via email, phone, and in person. May attend resource fairs, meetings, workshops, classes, and groups to provide administrative support. Reviews, maintains, and develops participant and program files; organizes and files program records such as rosters, evaluation tools, and other programmatic forms. Knowledgeable of filing procedures and various references and handbooks commonly used by the staff in order to classify, retrieve and dispose of materials. Prepares closed case records for archiving and follows procedures for archiving documents. Arranges administrative tasks related to meetings, workshops, briefs, classes, and groups. Prepares detailed or summary reports and minutes for meetings. Responsible for creating spreadsheets and statistical reports, inventory and purchasing spreadsheets, and other internal communications. Creates and designs a variety of forms to include: sign-in sheets, database forms, flyers, labels, certificates, calendars, and other materials. Prepares correspondence ensuring accuracy in form and format, grammar, spelling and punctuation. Prepares correspondence in compliance with the Naval Correspondence Manual. May provide front desk coverage to include: greeting customers, answering phone calls, orienting customers to intake paperwork for BH, and performing back ground checks for customers. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher level supervisor or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. This is a white-collar position where occasional lifting up to 20 lbs. may be required. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications BASIC REQUIREMENTS: A minimum of one year experience and knowledge in responsible clerical support work, such as managing files and records, preparing documents and correspondence, receiving visitors or telephone calls, etc. Must successfully complete a background security investigation. QUALIFICATION REQUIREMENTS: Must have at least one year experience with expert/advanced knowledge of a PC with peripheral equipment and ability in Microsoft Programs such as Word, Excel, Access, Outlook, and PowerPoint. Must possess excellent customer service, interpersonal skills, tact, and problem-solving abilities, a team player and actively looking for a way to help people. Must be self- motivated. Must have the ability to deal with issues associated with military lifestyles. Have a strong command of the English language to include excellent written and oral skills. Must have knowledge of basic graphic design and page layout techniques, and advanced knowledge of Excel spreadsheets, formulas, worksheet connections. Incumbent must possess the ability to work independently and unaided. This activity is a Drug-free workplace.
