Job Description:

Data Privacy Analyst | Remote

As a Data Privacy Analyst , you will be a key member of the IT organization, responsible for operations and transformation of Privacy Impact Assessment (PIA) and Records Information Management (RIM) processes. This role will involve conducting PIAs, developing and implementing RIM policies and procedures, and overseeing compliance of the lifecycle of records from creation to disposal. The ideal candidate will have a basic understanding of privacy laws, experience in conducting PIAs, and knowledge of records management practices. Additionally, they will collaborate closely with legal and business teams to ensure compliance with legal requirements.

This role will play a critical part in ensuring compliance with privacy laws, implementing efficient records management practices, and driving technological advancements in PIAs and RIM within the Global IT organization.

You will be responsible for :

Privacy Impact Assessment (PIA):

  • Lead the Privacy Impact Assessment (PIA) process for new projects, systems, and initiatives within the IT organization.

  • Collaborate with cross-functional teams to assess the privacy implications of data collection, processing, and sharing activities.

  • Document PIA findings, recommendations, and action plans to ensure compliance with privacy laws and regulations.

  • Monitor and evaluate ongoing privacy risks and perform periodic reviews of existing systems and processes.

  • Provide guidance and support to project teams on privacy best practices and compliance requirements.

Records Information Management (RIM):

  • Lead the development and implementation of Records Information Management (RIM) policies, procedures, and guidelines within the IT organization.

  • Classify and categorize records based on retention schedules, legal requirements, and business needs.

  • Oversee the lifecycle of records, including creation, storage, retrieval, retention, and disposal.

  • Ensure proper indexing, tagging, and metadata management to facilitate efficient search and retrieval of records.

  • Conduct training sessions for Business Partners on RIM practices, policies, and procedures.

  • Collaborate with IT and other departments to implement electronic document management systems and tools.

  • Monitor and enforce compliance with RIM policies, including conducting audits and assessments.

Transformation of PIAs and RIM:

  • Lead the transformation of PIAs and RIM technologies and processes within the organization.

  • Identify opportunities to streamline and improve the efficiency of the PIA process and RIM practices.

  • Evaluate and recommend new technologies and tools to enhance PIA and RIM capabilities.

  • Partner with IT teams to implement and integrate new PIA and RIM technologies.

  • Provide thought leadership on emerging trends and best practices in PIAs and RIM.

Compliance and Legal Partnership:

  • Partner closely with legal teams to ensure compliance with privacy laws, regulations, and legal requirements.

  • Collaborate on the development of policies, procedures, and guidelines to meet legal and regulatory obligations.

  • Provide expertise on privacy and records management matters to support legal compliance efforts.

Your background:

  • Bachelor's or Master's degree in information management, Privacy Law, Business Administration, or related field.

  • Minimum of 2 years of experience in Privacy Impact Assessments (PIAs), Records Information Management (RIM), or related fields.

  • Knowledge of privacy laws and regulations (e.g., GDPR, HIPAA, CCPA) and their implications for data management.

  • Experience with some technologies like Microsoft, Powerapps, Powerbi, Copilot, and scripting languages like Python. Utilizing SaaS service like Onetrust for PIAs and other Record Management tools.

  • Experience leading the PIA process for projects, systems, or initiatives.

  • Strong understanding of records management principles, practices, and technologies.

  • Familiarity with electronic document management systems (EDMS) and tools.

  • Excellent analytical, problem-solving, and decision-making skills.

  • Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.

  • Certifications such as Certified Information Professional (CIP), Certified Records Manager (CRM), or Certified Information Privacy Professional (CIPP) are a plus.
